Privacy Policy

The Terrace at Ridgewood Farms(“the club,” “we,” “us”) runs Court Order, the app members use to manage their membership, book courts, and pay club fees. This policy explains what information Court Order collects, how we use it, who we share it with, and the choices you have. It applies to the Court Order mobile app for iOS and Android and to the member portal at portal.terraceridgewood.com.
Court Order is built and published for the club by MTM Enterprises, which is listed as the app’s developer on Google Play. The club decides how your information is used, and any questions about it should go to the club using the contact details at the end of this policy.
Information we collect
Your account
- Your first and last name, email address, and username.
- Your phone number, if you choose to provide it.
- Your password. We store it only in a hashed form, so it cannot be read back by us or anyone else.
- Membership details: your membership tier, start date, renewal date, payment status, and when you acknowledged the club’s liability terms.
Your family
If you belong to a family membership, we store the family’s name and each member’s role in it (for example, Primary, Spouse, or Child). The family’s Primary member can add other people to the family by entering their name and email address, which creates an account for them.
Reservations
For each court reservation we store the court, date, time, and length, any notes you add, the other members you list as playing with you, and its payment and refund status. If club staff book a reservation for you, we record which staff member made it.
Payments
Card payments are handled by Stripe on its own secure checkout page. Your card number never reaches Court Order, and we do not store it. We keep a record of each payment: what it was for, the amount, its status, any refund, and the reference numbers Stripe gives us. If you pay by check at the club, staff may record the payment and attach a photo of the check, which shows the account and routing numbers printed on it.
Notifications and your device
If you allow notifications on your phone, the app sends us a push token (an identifier the notification service uses to reach your device) together with your device’s name, its platform (iOS or Android), and the app version. We also store your notification preferences and the notifications we have sent you in the app.
Messages you send us
When you send feedback from the app, it is emailed to the club with your name and email address so we can reply. If you call the club’s phone line, see Who we share information with.
Records from the club’s previous system
If you were a member before Court Order, we imported your record from the club’s previous membership system. That record may include your member number, family and family role, membership type, amount due, account credit, active status, next payment date, and gender.
What we do not collect
Court Order does not access your location, contacts, camera, photos, or microphone. It does not use advertising identifiers, does not track you across other apps or websites, and contains no third-party analytics or advertising software. We do not ask for your date of birth or home address.
How we use your information
- To create and manage your account and membership, including family memberships.
- To let you book, change, and cancel court reservations.
- To take payments, issue refunds, and keep the club’s financial records.
- To send you emails and notifications you need or have asked for, such as receipts, password resets, reservation reminders, renewal notices, and club announcements.
- To answer your questions and feedback.
- To keep Court Order secure and working properly.
We do not sell your personal information, and we do not use it for advertising.
We share information only with the services that run Court Order for us, and only what each one needs:
- Stripe processes card payments and refunds. It receives your email address, what you are paying for, the amount, and internal reference numbers that link the payment to your account.
- Resenddelivers the club’s email. It receives your email address and the content of each email we send you.
- Expodelivers push notifications and app updates. It receives your device’s push token and the content of each notification.
- Railway hosts the Court Order servers and database where your information is stored.
- Twilio and Vapirun the club’s phone line, which an automated assistant answers. If you call, the assistant can look up your account by your name to tell you about your next reservation or book a court for you, and the phone service receives your phone number as part of the call.
Within the club:
- Club staff with administrator access can see member accounts, reservations, and payments so they can run the club.
- Other members can see your name, and only your name, when they add players to a reservation or members to a family. Members you play with can see the reservations you share with them.
We may also disclose information if the law requires us to, or when it is needed to protect the rights or safety of the club, its members, or others.
Information stored on your device
The mobile app keeps your sign-in session in your device’s secure storage (the iOS Keychain or Android Keystore) so you stay signed in. That storage is not included in backups restored to another device. Signing out removes the session and stops push notifications to that device.
Your choices
- Update your details: you can change your name, email address, phone number, and password at any time under Account in the app or in the member portal.
- Notifications:you can switch each type of email and push notification on or off under Notification settings, or use the unsubscribe link in our emails. You can also turn off notifications for Court Order in your phone’s settings. Receipts, password resets, and bills are always sent, because they relate to your account and payments.
- Family:a family’s Primary member can remove people from the family.
Deleting your account
You can ask us to delete your Court Order account and the data connected to it at any time. Our account deletion page explains how to send the request, what we delete, and what we keep. We delete your account within 30 days of confirming your request.
How long we keep information
We keep your account information for as long as your account exists, including after a membership lapses, so you can renew without starting over. Unpaid reservations that are never completed are removed automatically, and push tokens are removed when you sign out or when the notification service reports that a device can no longer receive them. Our servers also keep routine operating logs, which may include your email address.
Security
Court Order sends all information over encrypted (HTTPS) connections, stores passwords only in hashed form, and limits access to member records to club staff who need it. No system is perfectly secure, but we take reasonable steps to protect your information.
Children
Court Order is for club members and their families. A child gets an account only when a parent or guardian who is the family’s Primary member adds them to the family. We do not knowingly collect information from a child under 13 without a parent’s or guardian’s consent. If you believe we have, email CourtOrder@terraceridgewood.com and we will delete it.
Changes to this policy
If we change this policy, we will post the new version here and update the effective date at the top. If a change affects how we use information we already hold, we will tell you by email or in the app before it takes effect.
